Frequently asked questions

How do I create my first translation?

Sign up, click "New project", upload a document (PPTX, PDF, DOCX, XLSX, or any of the 14 supported formats), pick your source and target languages, and click Translate. You will be notified by email when the file is ready to download.

Which languages does Vernacia support?

Vernacia supports 73+ languages, including English, Spanish, French, German, Japanese, Chinese (Simplified and Traditional), Korean, Arabic, Hindi, Portuguese, Russian, and many more. The full list is shown in the language selector when you create a job.

Do I need a credit card to start?

No. Every new account gets a 7-day free trial with 25 page credits — no credit card required. After the trial, choose a Starter, Pro, or Enterprise plan to continue.

Which file formats are supported?

Vernacia supports 14 formats: PPTX, PPT, PDF, DOCX, DOC, XLSX, ODP, ODT, TXT, CSV, SRT, VTT, HTML, and EPUB. The output file is always delivered in the same format as the source.

What is the maximum file size?

Starter (including your 7-day trial): 10 MB per file. Pro: 50 MB per file. Enterprise: 200 MB per file. If you need larger files, contact [email protected].

Why did my upload fail?

The most common causes are: (1) the file exceeds your plan size limit, (2) the file is password-protected, (3) the file type is not supported, or (4) the file is corrupted. Check the error message in the dashboard for the exact reason.

Can I upload multiple files at once?

Yes. On Pro and Enterprise plans you can bulk-upload multiple files and they are queued as separate translation jobs. Each file is processed independently so a failure in one does not affect the others.

Which AI quality tier is used for my translations?

By default, Starter and Pro plans translate on our Standard quality tier, which is fast, accurate, and cost-effective. Advanced and Precision tiers are also available for the highest-quality output on critical documents. You can switch tiers per job from the advanced settings.

How accurate are Vernacia translations?

Accuracy depends on the language pair and domain. Vernacia computes a quality score (0-100) for every completed job based on semantic similarity, terminology consistency, and formatting fidelity. For critical content, we recommend a human review step — especially for legal or medical documents.

Can I use a custom glossary?

Yes. Pro and Enterprise plans support uploading a CSV glossary of brand names, product terms, and forbidden translations. The engine applies these during translation so "Vernacia" stays "Vernacia" in every output language.

How does page-credit billing work?

Each subscription plan includes a monthly page-credit wallet. One credit equals one page translated. Credits are deducted when a job is queued and refunded automatically if the job fails. Unused credits expire at the end of the billing cycle on Starter and Pro; Enterprise rollover is negotiable.

What happens if a translation fails?

If the translation engine fails to complete your job for any reason, credits are refunded to your wallet automatically and you receive an email with the failure reason. You can retry the job with one click.

Can I switch plans mid-cycle?

Yes. Upgrades take effect immediately and are prorated. Downgrades take effect at the end of your current billing period. You can manage plan changes from Settings → Billing.

Do you offer refunds?

All fees are non-refundable except where required by law. You can cancel anytime — cancellation stops future billing, and you keep access until the end of your current billing period.

How do I invite a teammate?

On Pro and Enterprise plans, go to Settings → Team and click "Invite member". Enter their email and pick a role (Admin, Member, or Reviewer). They get a tokenised invitation link that expires in 7 days.

What roles are available?

Admin (full control over team, billing, and settings), Member (can create and download translations), and Reviewer (approves or rejects translations before download — useful for compliance-heavy workflows).

Can I use Google or social login?

Yes. You can sign in with Google OAuth or a standard email and password. GitHub and Microsoft login are also supported.

How do I get an API key?

Pro and Enterprise plans include API access. Go to Settings → API and click "Generate key". Keys are shown once — copy them immediately and store them in your secrets manager. Keys are hashed at rest and we cannot recover them.

What rate limits apply?

Rate limits vary by endpoint type, not by plan: free tool endpoints allow 10–20 requests/min per IP, authenticated endpoints allow roughly 60–120 requests/min per user, and premium AI tools (cultural advisor, model comparison) allow 15–30 requests/min. File uploads are capped at 10/min per user to protect queue fairness. If you hit a limit, the API returns 429 with a Retry-After header.

Do you support webhooks?

Yes. You can register webhook endpoints for events like job.completed, job.failed, and subscription.updated. Webhooks are signed, retried with exponential backoff, and have a dead-letter queue for permanent failures. See the API docs for details.
